The Office Coordinator role is a position that involves managing various aspects of our office environment including communication, organization, and administration. This important role also provides direct service and support to clients and internal teams. The Office Coordinator spends the majority of time delighting clients when answering inbound calls, scheduling client meetings and greeting clients and visitors to the office.
Responsibilities
- Welcome inbound calls and transfer to appropriate person(s)
- Schedule client meetings
- Prepare the meeting environment for the best experience
- Manage the building’s Visitor System to ensure secure and seamless entry to our office
- Welcome clients, vendors, and visitors
- Assist with coordinating office events (luncheons, celebrations, client advisory board meetings, etc.)
- Coordinate cards/gifts for client milestones/special events
- Engage with various mailing services (USPS, UPS, etc.)
- Distribute/scan incoming mail
- Drop off any outgoing mail in the building mail center
- Manage and monitor supply inventory
- Coordinate building maintenance as needed
- Communicate building announcements
- Manage building for employee key cards
- Manage receptionist back up service when needed
- Update daily announcements
- Assist with various projects as needed
Knowledge, Skills, and Abilities
- BS degree or 3+ years of administrative experience required
- Reliable with patience and professionalism
- Possess a high level of attention to detail
- Must possess excellent oral and verbal communication skills
- High level organization and time management skills
- Team-oriented – able to collaborate with colleagues professionally
- Adaptable to new organizational structure, procedures, and technology
